When You Apply for a Rental Apartment or Premises
We collect and process your personal data to manage your expression of interest in a rental apartment or premises, as well as when applying for a transfer. This is because we have a legitimate interest in processing your personal data.
When You Are Offered a Rental Apartment or Premises
We must process additional information about you when you are offered a rental apartment or premises. To establish a rental agreement, we need to ensure that you meet the required conditions. For example, we require information about your financial situation, employment, and how you have managed previous housing and rental payments. This means we conduct a credit check, gather information from debt collection agencies, and process the certificates and references you provide to us. We retain your data as long as it is deemed relevant and current.
During the Lease
Once you become our tenant and enter into a rental agreement, we process your personal data to fulfill and manage our obligations as a landlord and contractual party. During the lease, we process your personal data, for example, when we send rental invoices and manage payments. We also process your personal data when necessary to pursue a legal claim. This may be required in cases of disturbances, delayed or unpaid rent, or damage to the apartment. Additionally, we may need to share your personal data with the social services department or other relevant authorities. We may also engage a data processor to handle your information. This could include, for example, a contractor performing repairs in your apartment, a company providing broadband or electricity, a debt collection agency, or a company managing our IT systems. We also share your personal data when required by law or a regulatory decision.
When Your Lease Ends
We delete and clear your personal data when you move out of your rental apartment or premises, but we must retain certain information for at least five years, such as rental agreements, social service decisions, and student certificates. Payment information included in our accounting records is retained for six years, including the current year.
